Plan Settings


đź’ˇ At a Glance

All users for whom the "Administrate" feature package has been activated via the role concept can make plan settings. They influence the use and behavior of sproof Sign at a global level and are decoupled from the user-based settings that operate within sproof Sign as part of the role concept.

đź“‘ Step-by-Step Guide

1. Open Plan Settings

  1. Click “Settings” at the bottom left of the dashboard to access the settings.

  2. Alternatively, you can click your profile picture in the top navigation bar and then click “Settings”.

  3. In Settings, select “Plan Settings” from the menu on the left.


2. Configure Plan Settings

As a plan admin you can define global rules that cannot be changed or overridden by team members.

Note: In addition to the plan settings, the rights and roles concept is available, where you can assign roles with specific rights to your team members. You can find the explanation in the module Rights and Role Management.

The following configurations are available to you:

  • Document and Workflow Settings:

    • Enable automatic conversion of newly created documents to the archive-safe PDF/A standard.

    • Enable retention of PDF annotations.

    • Require that participants invited to sign or view a document must be logged in.

    • Prevent documents you share from being downloaded by people who are not logged into sproof Sign.

    • Prevent invited persons from placing additional signatures on documents that you did not intend.

    • Prevent recipients you invite from adding additional signatures themselves.

    • Remove the “In Queue” filter option in the dashboard for all plan members.

  • FDA-compliant Settings (relevant for regulated industries):

    • Ensure that the associated audit trail is automatically saved with every document download.

    • Enforce that only FDA-compliant signature cards can be created and used.

    • Require all team members to enter a personal 4-digit PIN before each signature.

  • Automatic Viewer:

    • Select a recipient who will automatically be added as a viewer for every document invitation in this plan.
