In sproof Sign, companies and individuals can store signature certificates to issue advanced signatures with an official digital proof. While for individuals this is referred to as a digital signature, the same technology in a corporate context is called a company seal (engl. SEAL). Both are based on a digital certificate that is uniquely assigned to a person or organization.


📑 Using signature certificates in sproof Sign

1. What is a signature certificate?

A signature certificate is the digital identity card of a person or organization. It confirms the identity of the signer and ensures that the signature is authentic, tamper-proof, and legally valid.

  • For natural persons: Digital signature

  • For legal entities (organizations): Company seal


2. When is a certificate used?

In sproof Sign, a stored certificate is always applied for advanced signatures.

Certificates can:

  1. be used for automated seals (not person-specific)

  2. be used for manual seals

  3. be used as the default certificate for advanced signatures.


3. How can certificates be integrated in sproof Sign?

As a plan admin, you have the option to manage signature certificates flexibly:

Share company-wide (company seal):

The certificate is shared with the entire plan and can be used by all team members.

Assign individually:

The certificate is specifically released only for individual persons within your plan.

Note: Both variants offer a high level of control and traceability in signature assignment.


4. Add a certificate in sproof Sign

If you already have a valid certificate (e.g., from a QTSP – Qualified Trust Service Provider), you can independently upload it to your plan:

Path:
Settings → Plan Management → Add Certificate

Prerequisite:
The certificate must be functional, valid, and correctly issued.

Afterwards:

You can release the certificate for the entire plan or specifically for individual team members
